Her Wilderness Trip & Event Policies
At Her Wilderness, our mission is to create meaningful outdoor experiences that encourage adventure, connection, growth, and community among women. In order to provide a safe, organized, and positive experience for all participants, we ask that every guest carefully review the following policies before registering for a trip or event.
By registering for a Her Wilderness trip or event, you acknowledge that you have read, understood, and agreed to all policies outlined below.
Who Can Attend a Her Wilderness Trip or Event?
Her Wilderness welcomes women of all backgrounds and experience levels. Whether you are completely new to the outdoors or a seasoned adventurer, our trips are designed to encourage connection, confidence, and community in a supportive environment.
While our trips are welcoming and beginner friendly, participants are expected to arrive with a respectful attitude, a willingness to learn, and the ability to positively contribute to a group environment.
Her Wilderness reserves the right to refuse participation or future bookings at our discretion in order to protect the overall experience of our community.
Can I Attend a Trip by Myself?
Absolutely! Many women attend Her Wilderness trips solo and leave with lifelong friendships. Our trips are intentionally designed to create opportunities for connection, support, and shared experiences among like minded women.
How Do You Sign Up for a Trip?
All upcoming trips can be viewed directly on our website. To reserve your spot, simply complete the registration process for the trip you wish to attend. Once registered, you will receive confirmation and communication from your assigned trip coordinator, who will serve as your primary point of contact leading up to the trip.
Registration is considered complete only after:
• Deposit/payment has been received
• Required waivers have been signed
• Any required forms or documentation have been submitted
Failure to complete required documentation by stated deadlines may result in cancellation of participation without refund.
Where Are These Trips Located?
Her Wilderness hosts trips and events throughout the United States and internationally. Destinations vary from wilderness retreats and fishing adventures to hunting trips, hiking weekends, wellness escapes, and cultural travel experiences. We are always open to destination suggestions and future trip ideas. Please contact us at questions@herwilderness.co.
How Much Does It Cost to Attend a Trip?
Trip pricing varies depending on destination, trip length, lodging style, activities, guide services, and overall experience. Trips may range from free local events to premium international adventures. Many trips offer structured payment plans to make participation more accessible. All pricing, deposits, and payment schedules are clearly outlined within each individual trip description prior to registration.
Does It Cost Anything to Be a Her Wilderness Member?
At this time, there is no fee to become part of the Her Wilderness community. Women are welcome to join our community Facebook group, subscribe to our email list, and participate in public events and announcements.
What Should I Bring on a Trip?
Prior to departure, participants will receive trip preparation materials, packing guidance, itinerary information, and coordinator communication to help prepare for the experience. Many trips also include a virtual group call before departure to review expectations, logistics, and answer participant questions.
Participants are responsible for bringing all required personal gear, clothing, travel documents, medications, licenses, and equipment unless otherwise specified in the trip description.
Refunds, Credits & Cancellations
All deposits are non refundable and non transferable.
Unless otherwise stated in writing by Her Wilderness:
• Payments made toward trips are non refundable
• Payments cannot be transferred to another participant
• Payments cannot be transferred between trips
If a participant chooses to cancel:
• Cancellations made more than 30 days before departure may be reviewed for a partial refund or trip credit only if the participant’s spot is successfully paid for and filled by another participant
• Any approved refund or credit is issued solely at the discretion of Her Wilderness
• Refunds are subject to a 4% merchant processing fee
• Cancellations made within 30 days of departure result in forfeiture of all payments made
Her Wilderness is not responsible for:
• Personal scheduling conflicts
• Illness or injury
• Flight cancellations or delays
• Weather concerns
• Family emergencies
• Work conflicts
• Visa/passport issues
• Fear of travel
• Changes in personal circumstances
We strongly recommend purchasing travel insurance for all domestic and international trips.
If you have any trip credits:
• Must be used within 365 days of issue
• Hold no cash value
• Expire automatically after 365 days
• May not be extended
By registering, participants acknowledge and accept all payment, cancellation, and refund policies.
Payment Policies
Payments are due according to the payment schedule outlined within each trip listing.
If payment is not received by the stated due date, Her Wilderness reserves the right to:
• Cancel the reservation
• Offer the spot to another participant
• Retain all prior payments made
Payment extensions are not guaranteed and must be requested in writing before the payment due date. Repeated late payments, lack of communication, or failure to follow payment schedules may result in removal from the trip and/or refusal of future bookings.
Waitlists
If a trip is sold out, participants are encouraged to join the official waitlist through the registration page.
Waitlist notifications do not guarantee a reserved spot. Openings are offered on a first come, first serve basis unless otherwise stated by Her Wilderness.
Shared Lodging Expectations
Many Her Wilderness trips include shared lodging accommodations as part of the group experience.
Participants are expected to:
• Respect shared spaces
• Maintain reasonable cleanliness
• Communicate respectfully with roommates and group members
• Be considerate of noise, schedules, and personal boundaries
Her Wilderness reserves the right to reassign lodging arrangements if necessary for the safety, comfort, or success of the group. Private room upgrades may be available on select trips at an additional cost when available.
Community Standards & Participant Conduct
Her Wilderness is committed to maintaining a respectful, encouraging, and positive environment for all participants, coordinators, guides, and partners.
Participants are expected to:
• Treat others with kindness and respect
• Communicate appropriately
• Remain flexible in changing environments
• Respect guides, outfitters, staff, and trip leadership
• Contribute positively to the overall group experience
The following behaviors may result in removal from a trip without refund:
• Harassment or bullying
• Repeated negativity or disruptive behavior
• Excessive intoxication
• Aggressive or inappropriate conduct
• Disrespect toward participants, coordinators, guides, or outfitters
• Refusal to follow safety instructions
• Behavior that negatively impacts the experience of the group
Her Wilderness reserves the right to remove participants from trips and/or deny future participation at our discretion.
Can I Bring My Dog?
Due to outfitter policies, guide dog operations, lodging restrictions, and safety concerns, personal pets are generally not permitted unless explicitly approved in writing before the trip. Approved exceptions are considered on a case by case basis.
Can I Bring My Kids?
For participants under 18 years old, please explore opportunities offered through Little Wilderness. Certain trips may allow participants ages 18+ with advance approval from the trip coordinator.
Travel Expenses
Unless specifically stated otherwise in the trip description, participants are responsible for:
• Airfare, none of our trips include flights.
• Ground transportation, none of our trips include car rental.
• Fuel expenses
• Meals
• Travel incidentals
• Airline baggage fees
• Passport or visa expenses
• Personal purchases
Trip fees include only the lodging, activities, guide services and inclusions specifically outlined within the trip description.
Licenses, Firearms & Legal Requirements
Participants are solely responsible for obtaining all required:
• Hunting licenses
• Fishing licenses
• Firearm certifications
• Passports
• Travel visas
• Entry documentation
Her Wilderness may provide guidance and reminders but cannot guarantee compliance with local, state, federal, or international laws.
Failure to obtain required documentation may result in inability to participate without refund.
Participants are responsible for understanding and complying with all applicable laws related to firearms, hunting, fishing, and travel.
Lodging Outside the Group
If lodging is included within the trip package, participants are expected to stay with the group unless otherwise approved in writing by Her Wilderness.
This policy helps maintain group coordination, transportation logistics, safety, and overall trip flow.
Guide Gratuities
Guide gratuities are not included unless specifically stated within the trip description. Tipping is optional but always appreciated for exceptional service.
Required Waivers & Assumption of Risk
All participants must sign required liability waivers before participation.
Adventure travel and outdoor recreation involve inherent risks, including but not limited to:
• Weather exposure
• Wildlife encounters
• Physical exertion
• Equipment failure
• Transportation risks
• Remote environments
• Hunting and fishing related hazards
By participating, you voluntarily assume all associated risks.
Failure to complete required waivers or documentation may result in cancellation without refund.
Itinerary Changes & Operational Flexibility
Her Wilderness reserves the right to modify itineraries, schedules, guides, lodging, activities, transportation methods, fishing locations, hunting areas, and trip structure at any time due to:
• Weather
• Wildlife movement
• Safety concerns
• Outfitter decisions
• Government regulations
• Travel disruptions
• Participant ability levels
• Operational needs
• Unforeseen circumstances
No refunds or credits will be issued due to these operational changes. Participants are expected to remain flexible and understanding throughout the experience.
Force Majeure / Unforeseen Circumstances
Her Wilderness reserves the right to cancel, postpone, reschedule, or modify trips due to events beyond our control, including but not limited to:
• Severe weather
• Natural disasters
• Illness outbreaks
• Government restrictions
• Political unrest
• Transportation disruptions
• Outfitter cancellations
• Global events
• Safety concerns
In these situations, refunds may not be issued. Her Wilderness may offer trip credits at our sole discretion.
Health & Fitness Disclaimer
Many Her Wilderness trips involve physical activity and outdoor conditions that may be physically or mentally demanding.
By registering, participants acknowledge that they are physically and mentally capable of participating in the activities described.
Participants are responsible for:
• Assessing their own fitness level
• Consulting medical professionals if needed
• Managing personal medical conditions
• Bringing required medications and medical supplies
Her Wilderness is not responsible for injuries, illnesses, allergic reactions, altitude related illness, pregnancy related complications, or medical emergencies that occur before, during, or after participation.
Photo & Media Release
By participating in a Her Wilderness trip or event, participants grant permission for Her Wilderness to use photographs, videos, testimonials, and other media captured during the experience for marketing, educational, social media, and promotional purposes.
Participants who wish to opt out must submit a written request before the start of the trip.
Final Notes
Adventure travel involves unpredictability, flexibility, and inherent risk. By registering for a Her Wilderness trip or event, participants acknowledge personal responsibility for their conduct, safety, preparedness, and compliance with all policies outlined above.
Her Wilderness reserves the right to update policies, trip details, and operational procedures at any time in order to protect the safety, integrity, and success of our community.
